Accounting Requirements
China Accounting Is Ongoing — Not a Once-a-Year Task
China companies face recurring bookkeeping, tax and employee-related filing obligations throughout the year. Missing records or filing deadlines can quickly create problems with tax, payroll, banking and future profit distributions. Hongda helps keep these obligations organised from the start.
Monthly
A practical monthly routine normally covers bookkeeping, bank reconciliation and fapiao or invoice review. Where relevant to the agreed scope, it can also include payroll accounting, employee IIT withholding and social-insurance work.
Monthly or Quarterly
VAT is filed according to the company’s taxpayer status and applicable filing period. Corporate income tax prepayments also follow the filing cycle that applies to the company. Not every company files every tax every month.
Annually
Year-end work may include closing the books, annual corporate income tax reconciliation, annual corporate reporting and other compliance that applies to the company’s situation.
When Needed
Additional accounting support may be required for cross-border payments, shareholder transactions, profit distributions or remittances, tax-office questions, company changes and tax-risk reviews.
A consistent accounting routine does more than meet filing deadlines — it gives management a clearer picture of the China business throughout the year.
You Run the Business. We Organise the Accounting.
You do not need to prepare the accounting books yourself. Send us the supporting business records each month, and Hongda turns them into organised bookkeeping, tax filings and employee-related reporting.
Sales, Purchases & Fapiao
Your team normally provides sales invoices or fapiao, purchase records, supplier invoices, contracts and related supporting documents. Hongda reviews and classifies the transactions, checks the accounting trail and follows up on missing or unusual items.
Bank Records & Reconciliation
Provide corporate bank statements, incoming-receipt records, supplier payments, reimbursements and relevant cross-border-payment records. Hongda records the activity, reconciles the bank accounts and flags transactions that need further support.
Payroll, IIT & Social Insurance
Provide salary data, employee changes, bonuses, allowances, reimbursements and other payroll updates. Depending on the agreed service scope, Hongda can prepare payroll-related accounting, coordinate monthly IIT withholding and filings, coordinate social-insurance contribution work and identify missing employee information.
Social-insurance procedures and contribution requirements are handled according to the applicable local rules.
Other Business Records
Where relevant, we may also request records for import and export activity, customs, VAT refunds, fixed assets, shareholder loans, overseas payments and related-party transactions.
No complicated accounting handover every month — Hongda can establish a recurring document routine with your China team or overseas headquarters.
How Hongda Works
How Hongda Handles Your Monthly Accounting
More than data entry — a monthly finance routine you can rely on.
Our role is not simply to enter transactions and submit returns. Each accounting cycle, we review the records you provide, reconcile the books, prepare the applicable filings and flag issues that management should know about.
01 Review & Organise the Records
We review invoices, fapiao, contracts, bank activity, payroll and other supporting records, then follow up on gaps before they become year-end problems.
02 Bookkeeping & Reconciliation
We record transactions and maintain the relevant ledgers, fixed-asset, inventory and expense records, with bank reconciliation where applicable.
03 Tax, Payroll & Employee Filings
We prepare the VAT, corporate income tax and other recurring filings that apply to the company. Payroll, IIT and social-insurance work can be coordinated where included in the service scope.
04 Reporting & Management Follow-Up
We provide the agreed financial information and raise unusual transactions, missing records, filing questions and other items that need management attention.
So you are not left wondering what was filed, what is missing or whether something needs your attention.
If your current accounting process feels unclear or reactive, talk to Hongda about building a more structured monthly workflow.
What You Receive
Know What You’re Paying For — and What You Receive
Good accounting should give management useful information, not just confirm that a filing was submitted.
Depending on the agreed scope and the company’s activity, Hongda may provide:
- balance sheet;
- income statement;
- bank reconciliation;
- tax-filing summary or confirmation;
- fapiao status;
- outstanding or missing-item list; and
- management-facing explanations.
For overseas founders and headquarters, Hongda can explain China-specific accounting and tax matters in English, helping management understand what is happening locally.
You should know what has been completed, what remains outstanding and what needs your attention.
What Happens at Year-End?
Monthly bookkeeping creates the financial foundation for year-end tax and corporate compliance. Keeping the books organised throughout the year makes the annual work much easier to manage.
Year-end work can include:
- closing and reviewing the annual books;
- annual corporate income tax reconciliation;
- annual corporate reporting;
- audit coordination where an audit is applicable; and
- other annual compliance based on the company’s circumstances.
Not every foreign-owned company has identical statutory-audit or annual filing requirements. We confirm the work according to the entity, location and relevant reporting obligations.
Hongda can connect the monthly accounting work with the year-end compliance process, so the annual review does not begin with incomplete records.
Why Foreign Companies Choose Hongda
China accounting can be difficult enough without language gaps, multiple service providers and unclear reporting. Hongda supports foreign-owned businesses that need both local compliance execution and clear communication with overseas management.
One Team for More Than Accounting
When an accounting issue connects with banking, payroll, social insurance, work permits, import and export or company compliance, Hongda can coordinate the related work instead of sending you to multiple providers.
English Communication for Overseas Management
We explain China-specific accounting and tax issues in practical business language, helping overseas founders and headquarters understand what is happening locally.
Recurring Review, Not Just Filing
We review the records you provide, flag missing or unusual items and communicate issues that require management attention rather than simply submitting returns.
Support as Your China Business Grows
From a newly incorporated WFOE to a trading company with employees and cross-border transactions, the accounting workflow can evolve with the business.
Your China accounting should give you control, not uncertainty. Talk to Hongda about building a bookkeeping and compliance workflow that fits how your company actually operates.
Switch Accountant
Not Happy With Your Current Accountant? Switching Is Easier Than You Think.
You do not need to wait until year-end to move your accounting to Hongda. We can review the existing books and filing records, identify the handover materials and establish a new monthly workflow with your team.
A typical handover may include:
- accounting books and opening balances;
- historical tax filings;
- bank statements and fapiao records;
- payroll and employee records; and
- relevant system access or authorisations.
Hongda reviews the historical records, identifies missing information or unresolved issues and coordinates the transition so the next accounting cycle can continue with as little disruption as possible.
If historical inconsistencies or potential tax issues are identified during the handover, we flag them separately for your review rather than silently carrying them forward.
Send us a brief overview of your current accounting situation and we can help you understand what would be needed for the handover.
